Get results in days, not monthsResults in days, not monthsWhy measure
A house buyer runs a different business from most local trades. The lead is a homeowner who may be in an uncomfortable spot: an inherited house nobody wants to maintain, a rental that has become a headache, a property behind on taxes, a divorce, a move that cannot wait. They often do not know they are going to sell until they have talked to a few people, and they rarely decide on the first call.
That changes what a good report looks like. Counting raw leads rewards the wrong behavior, because a shared form submission from someone just curious about a price is counted the same as a call from an owner with a vacant house and a deadline. Investors who track only cost per lead tend to chase cheap volume and then burn hours qualifying people who were never going to sell.
A useful program measures every stage from the first signal to the deed transfer, and it breaks each number out by source: your website pages, search ads, direct mail, driving-for-dollars lists, referrals from attorneys and agents, and any marketplace you use to fill gaps. We build and run the owned channels and the tracking. We do not sell or broker seller leads, and the point of the numbers is to tell you where your next dollar and your next hour should go.
There is also a buyer side. Wholesalers and flippers need a list of cash buyers who respond, and the same scorecard applies: how many buyers were contacted, how many replied to a deal blast, how many toured a property and how many actually closed. A thin or stale buyers list is often the real reason a good contract falls through, and it will never show up in a seller-side report.
Finally, count your own time. An investor or an acquisitions manager who spends hours each week on calls that never had a chance has a cost that a cost-per-lead figure hides. Time per qualified appointment is a number worth writing down.
The scorecard
| Stage | What to count | What a weak number usually means |
|---|---|---|
| Visibility | Searches and map views for "sell my house fast" style phrases in your market, direct mail pieces delivered, properties added to your list. | Your pages and listing are not matching the searches sellers type, or the mailing list is stale. |
| Contact | Calls, texts and form submissions, by source and by day of week. | The number is hard to find, forms are long or the site feels like every other "we buy houses" page. |
| Reached and qualified | Share of inquiries you actually spoke with, and how many are owners with a real motivation and a timeline. | Slow response, missed calls or an intake script that does not ask about motivation, condition and ownership. |
| Property visit or phone offer | Appointments set, walkthroughs done, phone offers made. | Too many tire kickers reach this stage, or scheduling takes too long. |
| Offer | Written offers sent and how long each took. | Underwriting is slow, or the numbers are not matched to what sellers expect. |
| Contract and close | Contracts signed, deals closed or assigned, gross spread per deal. | Seller backs out, title problems, or a thin buyers list on the wholesale side. |
| Cash buyer response | Buyers contacted, replies to a deal blast, showings and closings per buyer. | The list is out of date, deals are priced too high or the property description is thin. |
| Follow-up | Touches per lead and how many deals came from lead number three, four or later. | Leads are written off after one call, though many sellers respond only after repeated, polite contact. |
Tracking setup
Calls
Use a different number on your site, on each mail piece and in each ad group so a ringing phone tells you its source. Record calls where the law allows and disclose it.
Forms
Ask for the address, a phone number and the best time to talk. Longer forms cut submissions and invite fake answers.
Pipeline
Name each stage the way you actually work: new, contacted, appointment, offer made, under contract, closed, dead. Add a reason for dead leads.
Attribution
Every record carries the source, the mail drop or ad group and the first-touch date, so a deal closed in month five still points to the campaign that started it.
Discipline
The CRM should assign the next call, text or letter automatically. Compliance rules for texting and phone calls vary by state, so check them before you automate.
Process
Review a few recordings weekly. Scoring each call for motivation, timeline and next step helps new team members learn the script and shows where qualified sellers slip away.
Economics
When a deal closes, record marketing cost, time spent and spread, so the monthly report compares sources by profit rather than lead count.
Monthly rhythm
Export the CRM and the call log for the month and sort every lead by where it came from, including the ones you now regard as junk.
Choose a mix: answered, missed, long and short. Notice where the intake script stumbles, how quickly the team replies and whether sellers are being asked the right questions.
Group closed-lost records into price, timing, wrong owner, shopping around and no response. Each group suggests a different fix.
List the open leads that had fewer than three touches. Those are your cheapest opportunities this month.
Shift budget and time toward the sources producing profitable deals and trim the ones that only produce volume. Make one or two changes, not ten.
Confirm opt-outs are honored, mailing and texting practices still fit your state rules, and your contract and disclosure language has been reviewed by your attorney.
Questions
It is the process of attracting homeowners who might sell and buyers who might purchase, then tracking each one to a signed contract. For most investors the main goal is motivated seller inquiries from channels they own, such as web pages, a map listing, ads and mailings.
Bought leads are shared inquiries from a vendor. Owned channels send calls to your number and keep working after you stop paying. Marketplaces can fill a gap, but judge any source by profit per closed deal rather than cost per lead.
RankGuarantee™ landing pages for your market are $495 a month, Organic Growth plans are $1,495, $2,495 or $3,495 a month and managed ads begin at $895 a month on one platform. Ad spend is paid on top, and there are no setup fees or contracts.
Profit per deal by source, because it accounts for cost, time and fallout. Cost per lead is useful as an early warning but misleading as a goal.
No. We cannot control sellers, prices or your closing process. We can build the channels, set up tracking and report plainly so you can improve.
Yes. States differ on whether and how wholesaling is regulated, disclosure of your intent to buy, foreclosure-related solicitations, recording calls and texting rules. Check with a real estate attorney in your state. We do not give legal advice.
In real estate investor lead generation, expect a few months to see patterns in search channels and longer for direct mail, since sellers often respond on the third or fourth touch. Look at trends, not single weeks.
It lists inquiries by source, how many were reached and qualified, appointments, offers, contracts and closings, plus follow-up depth and the reasons leads died. Where you can supply profit per deal, it connects sources to money.
Yes. Give every mail piece its own phone number or web address and record the source in the CRM, so mail, search, ads and referrals can be compared honestly side by side. Mail is slower to show results than search, which the report should note.
